Effective date and version
Effective July 22, 2026. Policy version: refund-policy-2026-07-22.
Privca records the policy version in effect when a refund request is opened so the request can be reviewed against a durable set of terms rather than silently changing history.
What this policy covers
This policy applies to charges for Privca subscriptions and paid plan features processed for a Privca account. It does not cover activation-code access or charges made by an unrelated business.
A refund and a subscription cancellation are separate actions. Requesting or receiving a refund does not automatically cancel future renewals. You can manage cancellation separately through the billing portal or another cancellation method Privca provides.
When a refund may be available
Privca reviews reasonable claims involving a duplicate charge, charge after cancellation, unauthorized charge, billing error, accidental purchase, material service failure, or another circumstance that warrants correction. A refund may also be required by applicable law.
Paid functionality can deliver value immediately through request preparation, submissions, evidence tracking, paid broker coverage, plan access, or Family features. Privca may deny or reduce a discretionary refund when substantial paid functionality has already been used, except where law requires a different result.
How to request review
Open the Billing area of your Privca dashboard and choose Request refund review, or open a Refund support request. Include the charge date, amount if known, reason, and a concise explanation. Submit one request per charge when possible.
Do not send a full card number, bank account number, password, government ID, or payment-provider secret. Privca can identify the relevant billing profile server-side and may ask for additional non-sensitive information if the charge cannot be matched safely.
Review and decision
A request is reviewed by authorized support personnel using the billing record, cancellation state, request history, paid-feature usage, prior refunds, and the explanation provided. Approval is not automatic merely because a request was submitted.
Privca may approve all or part of the requested amount, ask for more information, deny the request with an explanation, or use another remedy where appropriate. An approved amount is tied to one verified payment and cannot exceed the amount that remains refundable through the payment provider.
How approved refunds are sent
Approved Stripe refunds are returned only to the original payment method. Privca does not redirect a card refund to a different card, bank account, wallet, or person.
Stripe may report a refund as processing, requiring recipient action, succeeded, failed, or canceled. Card refunds commonly appear within 5–10 business days, but timing depends on the bank or card issuer. A recent charge may disappear as a reversal instead of showing a separate credit. Privca tracks signed provider updates and will contact you if the provider reports that a refund failed.
Refund records and retention
Privca retains a minimized refund execution record for billing support, provider reconciliation, dispute review, audit, and applicable legal or accounting needs. The record includes the policy version, amount, currency, bounded status information, and payment-provider object identifiers, but not a full card number or bank account number.
Closing or deleting an account does not automatically delete this refund execution record. It remains retained until an authorized Privca administrator approves deletion through a governed process, subject to any obligation that requires Privca to keep it. Privca may adopt a different retention schedule prospectively and will not silently change the policy version recorded for an existing refund request.
Disputes and duplicate reimbursement
Tell Privca if you have already disputed the same charge with your bank or payment provider. A bank dispute and a merchant refund can overlap, especially for bank-debit methods, and may create duplicate reimbursement or delay the provider process.
Privca may pause direct refund action while a dispute is pending and coordinate the appropriate remedy through the payment provider. This does not limit non-waivable dispute rights.
Required-law exceptions and contact
Nothing in this policy limits refund, cancellation, auto-renewal, payment, or consumer-protection rights that cannot be waived under applicable law. Where applicable law requires different treatment, Privca will follow that law.
